Manufacturing & Distribution

Continual optimization efforts in manufacturing and distribution have a constant impact on the way information and documents flow across an organisation. Inventory, warehousing, logistics, Supply Chain Management, Enterprise Resource Planning and Customer Relationship Management initiatives, while integrated to varying degrees, can create a confusion of document-related processes and sometimes limit the very productivity gains these sophisticated systems were meant to provide.

Legacy applications which are typically dependant on matrix printers, function-specific output devices and dedicated printers can impede efforts to provide well-organised document flows.  Typically, there is a high number of document output devices that are working under or over capacity, past their service lifetime or entirely mute when it comes to tracking usage and maintenance data.   While the potential cost savings of an effective and comprehensive document strategy has been established, many manufacturers have yet to implement such a strategy, or even imagine what it could or should be.

Lexmark can address your unique printing and document challenges to provide cost savings while improve your productivity.  Whatever your need, Lexmark can help with customized, industry-specific solutions.  For example, by focusing on your document issues, Lexmark can help you:

  • Reduce shipping mistakes and costs
  • Steamline back office workflow
  • Accelerate invoicing

We can deliver proven, proactive and cost-effective manufacturing and distribution solutions to enable you to reduce costs while improving quality and productivity levels.

 Warehouse Solutions

The process of identifying your products, moving them out of the warehouse, or returning them back to stock can be a paper-intensive and costly drag on your warehouse operations.

Lexmark can streamline your pick and pack process and minimize shipping paperwork. Our solutions are designed to integrate with legacy systems while employing cutting-edge technololgy such as automated document distribution.  Those powerful combinations lead directly to the bottom line.

  • Pick and Pack Solutions
  • Shipping & Bill of Lading Solutions
  • Parts Return Process Enhancements

Pick and Pack Solutions
A typical pick and pack operation requires the user to generate multiple paper documents – a picklist, a packlist, a shipping label, and perhaps a sheet of special instructions or signatures. Lexmark uncomplicates this process with a variety of printer and print management software solutions, most of them requiring no change to your Enterprise Resource Planning, Warehouse Management System, or legacy systems. By implementing solutions that streamline and minimize paper, we empower you to pick and pack faster with more flexibility. That efficiency improves worker productivity and lowers costs - results that flow right to the bottom line.

Shipping and Bill of Lading Solutions
Bills of Lading (BOLs) are typically pre-printed, multi-part forms distributed manually to multiple locations. This manual process is slow, costly, leads to missing or misfiled documents, and can result in poor customer service. High storage and retrieval costs make this process a challenge.

The Lexmark Digital Bill of Lading solution eliminates preprinted forms and manual distribution. Our solution captures the print job, adds barcodes, and prints the BOL on plain paper. When the shipment is complete and signed, scan and distribute via multiple means to any destination. Now, you have secure on-line access to all your BOL information – anytime and from anywhere.

Minimizing paper in the pick and pack process can increase workflow efficiency and worker productivity, resulting in faster shipping, increased flexibility and lower costs.

Parts Return Process Enhancements
An inefficient process for dealing with returned parts or products can waste time, paper, and floor space. More troublesome than the sheer volume is the lack of appropriate information. When returns come back, it can be difficult to determine where they came from and what condition they are in. Consequently. many parts are tested unnecessarily and at great expense. Meanwhile a shipping label and a packing list must be printed – requiring two types of printers and their associated supplies and maintenance costs.

The shipping labels can be enhance to provide key information on the part, its condition and the claim number and printed along with predefined, customizable shipping documentation using a laserprinter. The result? You restock faster and reduce parts testing, which leads to reduced costs, greater productivity and the opportunity for greater revenue.

 Human Resources /General Office Solutions

The need to manage document workflow isn't limited to manufacturing and shipping processes. In fact, the information that flows through the Human Resources (HR) and general office feed your business in essential ways. Delivering this information when and where it is needed, regardless of how or where it was created, is essential. However, that can be a challenge when you don't have the technical resources to implement an optimal solution. Lexmark uncovers and recreates documentation processes so your business processes are not gated by the speed of paper.

  • EDMS Integration

HR Workflow Efficiencies
If you want to know where your HR budget goes, follow the paper trail. While most manufacturers and distributors have invested heavily in automating their warehouse and back office operations, unnecessary paper processes still exist in HR. Try replacing an employee. To maintain warehouse efficiency, you need to do it quickly. Unfortunately, the paperwork required to meet internal and legal employment guidelines can slow you down.

If your company wants to streamline processes and cut costs, it's time to reduce or eliminate the movement of hardcopy documents from HR. Replace those paper-intensive processes with distributed scanning and electronic distribution. You will cut costs, speed up employee replacement, and get your HR office working in tandem with other departments.

Paper-to-digital HR Solutions
Lexmark's HR paper-to-digital document management solution addresses the key issues of security, tracking, and the speed of retrieval. Paper documents can be locally scanned, bar-coded and stored in your EDMS system. These substantial improvements to your HR operation can improve processing time, reduce manual handling and decrease the likelihood of losing documents, all of which makes information more easily available to those who need it, when they need it. These benefits reduce the costs of managing your HR department.

HR Self-Service Stations
Lexmark multi-function devices can provide a simple, confidential means for employees to obtain and process HR forms and information. This can eliminate costly pre-printed forms and allow HR staff to focus on personnel needs.  Applications can include on demand printing of online applications and forms, job posting, benefits enrollment and more.  In addition to fulfilling your print, copy and fax needs, the multifunction device becomes a self-service station to help your company increase employee satisfaction and retention.

EDMS Integration
Many departments, such as legal and accounts payable, in your manufacturing and distribution environment use an electronic document management system (EDMS). However, input of those documents into the system can be a challenge. Whether you scan documents to e-mail or send them to a centralized facility for scanning, the process takes multiple steps and uses multiple devices to get the job done. It can be a time-consuming and costly process.

Lexmark multifunction devices can be used to put documents directly into your EDMS system in one simple step, functioning as a high-speed "on ramp" to your document management system. Better yet, our one-touch technology captures and profiles documents for indexing data at the point of origin.  You will find documents faster, eliminate scanning costs, and free up personnel to stay focused on more valuable issues.

For the legal department, we can also help you encode client/matter numbers and other pertinent data and print a barcode when documents are created to streamline the indexing of documents when they are scanned into the EDMS.
